Privacy Policy

This Privacy Policy (“Policy”) describes how SageQuill LLC (“Scrib,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with the Scrib website, platform, and related services (collectively, the “Services”). By accessing or using the Services, you agree to this Policy. If you do not agree, you must not use the Services.

1. Definitions

For purposes of this Policy:

  • “Personal Information” means information that can reasonably identify an individual, including name, email address, account credentials, and similar identifiers.
  • “Services” means the Scrib website (scrib.life), platform, and related hosted services provided by SageQuill LLC.
  • “User Content” means agent lists, query tracking data, manuscript metadata (genres, themes, loglines, comp titles), notes, and other materials that users create, upload, or make available through the Services. User Content does not include manuscript text, Scrib does not read, store, or analyze manuscripts.
  • “Aggregated Data” means de-identified or anonymized information collected through the Services that cannot reasonably identify an individual.
  • “Processing” means any operation performed on Personal Information, such as collection, storage, use, disclosure, transfer, or deletion.

2. Information We Collect

Information You Provide

  • Account information such as name and email address.
  • Waitlist registration information (email address).
  • Payment information processed through third-party providers (e.g., Stripe). Scrib does not store full payment card details.
  • User Content, including agent lists, query tracking data, manuscript metadata, and notes you create within the Services.
  • Communications with us, including support requests and feedback.

Information We Collect Automatically

  • Device and usage information such as IP address, browser type, operating system, and access times.
  • Activity data relating to your interactions with the Services, including pages viewed, features used, and session data.
  • Cookies and similar technologies (see Section 8, “Cookies and Tracking Technologies”).

Information from Third Parties

  • Information from service providers or integrations (e.g., authentication services, analytics providers, email marketing platforms).

3. How We Use Information

We use the information we collect for the following purposes:

  • To provide, maintain, and improve the Services.
  • To process transactions, manage billing, and provide customer support.
  • To personalize the Services, including agent matching, recommendations, and features.
  • To send updates, technical notices, and administrative communications.
  • To send marketing communications you have opted into (e.g., waitlist updates, product announcements). You may unsubscribe at any time.
  • To conduct research, analytics, and product development.
  • To comply with legal obligations and enforce our Terms of Service.
  • To detect, prevent, and address fraud, security, and technical issues.

What we do not do:Scrib does not read, store, or analyze manuscript text. The AI layer powers agent matching, data enrichment, and query intelligence, not creative writing assistance. Writer manuscript content (blurbs, query letters, synopses) is the writer's intellectual property and is never used for training, analytics, or sharing without explicit consent.

4. How We Share Information

We may share information in the following circumstances:

  • Service Providers: With trusted vendors who perform services on our behalf (e.g., Stripe for payment processing, Kit for email marketing, Cloudflare for hosting and security, analytics providers).
  • Legal and Compliance: When required by law, subpoena, court order, or legal process, or to protect our legal rights, users, or others.
  • Business Transfers: In connection with a merger, acquisition, sale of assets, or financing.

What we do not do: We do not sell your Personal Information. We do not share your User Content (agent lists, query tracking data, notes, manuscript metadata) with other users. Your workspace is private by default.

5. Data Retention

We retain Personal Information only as long as necessary to fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce agreements.

  • Account Information: Retained for the duration of your account and a reasonable period thereafter.
  • User Content: Retained as long as your account is active unless you delete it or request deletion.
  • Waitlist Information: Retained until you unsubscribe or request deletion.
  • Payment Information: Retained only as long as necessary to process transactions and comply with financial regulations.

6. Data Security

Scrib uses appropriate technical and organizational measures to protect Personal Information against unauthorized access, loss, misuse, alteration, or disclosure. These measures include:

  • Encryption: Personal Information is encrypted during transmission (TLS 1.2+) and, where applicable, at rest (AES-256).
  • Access Controls: Access to Personal Information is restricted to authorized personnel with a legitimate business need.
  • Monitoring: Systems are monitored for potential vulnerabilities and security incidents.
  • Incident Response: Procedures are in place to detect, investigate, and respond to data breaches in accordance with applicable laws, including GDPR's 72-hour notification requirement where applicable.

Despite these safeguards, no system can guarantee absolute security. Users are responsible for safeguarding account credentials and should notify us immediately of any suspected unauthorized access.

7. Your Privacy Rights

Depending on your location, you may have certain rights under applicable data protection laws, including:

  • Right to access and obtain a copy of your Personal Information.
  • Right to request correction of inaccurate Personal Information.
  • Right to request deletion of your Personal Information.
  • Right to restrict or object to processing of your Personal Information.
  • Right to data portability.
  • Right to withdraw consent at any time where processing is based on consent.

To exercise these rights, please contact us at legal@scrib.life. We will respond to verified requests within 30 days. If we require additional time, we will notify you of the extension and the reasons for it.

GDPR (EEA and UK Residents)

If you are located in the European Economic Area (EEA) or United Kingdom, the General Data Protection Regulation (GDPR) and UK GDPR apply to our processing of your Personal Information. Under these regulations, you have the following rights:

  • Right of access (Article 15): You may request a copy of the Personal Information we hold about you.
  • Right to rectification (Article 16): You may request correction of inaccurate or incomplete Personal Information.
  • Right to erasure (Article 17): You may request deletion of your Personal Information where there is no compelling reason for continued processing.
  • Right to restrict processing (Article 18): You may request that we limit processing of your Personal Information in certain circumstances.
  • Right to data portability (Article 20): You may request a machine-readable copy of Personal Information you have provided to us.
  • Right to object (Article 21): You may object to processing based on legitimate interests, including profiling and direct marketing.
  • Right to withdraw consent (Article 7): Where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of prior processing.
  • Right to lodge a complaint: You have the right to lodge a complaint with your local Data Protection Authority (supervisory authority) if you believe our processing of your Personal Information violates applicable law.

Lawful Bases for Processing (GDPR Article 6)

We process Personal Information on the following lawful bases:

  • Performance of a contract (Article 6(1)(b)): Processing necessary to provide you with the Services you have requested (e.g., account management, query tracking, agent matching).
  • Legitimate interests (Article 6(1)(f)): Processing necessary for our legitimate interests, such as improving the Services, ensuring security, and communicating about updates, provided your rights and freedoms do not override these interests.
  • Consent (Article 6(1)(a)): Processing based on your freely given consent, such as marketing communications, waitlist registration, and analytics cookies. You may withdraw consent at any time.
  • Legal obligation (Article 6(1)(c)): Processing necessary to comply with applicable legal requirements.

If you are an EEA or UK resident and wish to exercise your rights under GDPR, or if you have concerns about our data practices, you may contact our DPO directly. You also have the right to lodge a complaint with the relevant supervisory authority in your member state of residence, place of work, or place of the alleged infringement.

CCPA/CPRA (California Residents)

If you are a California resident, you have the right to: know what Personal Information we collect and how it is used; request deletion of your Personal Information; opt-out of the sale or sharing of your Personal Information (note: Scrib does not sell Personal Information); and request correction of inaccurate information. You will not be discriminated against for exercising your privacy rights.

Other U.S. State Privacy Laws

Residents of Virginia, Colorado, Connecticut, Utah, and other states with privacy laws may have additional rights including the right to confirm processing, access, correct, delete, and opt-out of targeted advertising. We will respond to such requests as required by applicable law.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to collect usage information and improve the Services.

Types of Cookies We Use

  • Essential Cookies: Necessary for the operation of the Services (e.g., authentication, security, cookie consent preferences). These cannot be disabled.
  • Analytics Cookies: Help us understand how the Services are being used and improve performance. These are only loaded with your consent.

We do not use advertising or targeting cookies. We do not track you across third-party websites.

Your Cookie Choices

When you first visit Scrib, a consent banner allows you to accept or decline non-essential cookies. No analytics cookies are loaded until you consent. You can also manage cookie preferences through your browser settings. For more information, see the opt-out resources at aboutads.info/choices.

9. International Users and Cross-Border Data Transfers

Scrib is available to users worldwide. Our servers and data processing facilities are located in the United States. If you are located outside the United States and submit Personal Information, your data will be transferred to and processed in the United States, which may not provide the same level of data protection as your home jurisdiction.

EEA and UK Transfers

When transferring Personal Information from the European Economic Area or United Kingdom to the United States, we implement appropriate safeguards as required by GDPR Articles 44-49, including:

  • Standard Contractual Clauses (SCCs): We enter into European Commission-approved Standard Contractual Clauses with our service providers and data processors to ensure adequate protection of transferred data.
  • Supplementary measures: Where appropriate, we implement additional technical and organizational safeguards, including encryption in transit and at rest.

Other International Transfers

For users in other jurisdictions, we comply with applicable cross-border data transfer requirements. By using the Services, you acknowledge that your Personal Information may be transferred to and processed in the United States, and you consent to such transfer in accordance with this Policy and applicable law.

10. Children's Privacy

The Services are not directed to or intended for children under 18. We do not knowingly collect Personal Information from children under 18. If we become aware that we have collected such information, we will delete it. If you believe a child has provided Personal Information to us, please contact us at legal@scrib.life.

11. Changes to This Policy

We may revise this Policy from time to time. Material changes will be communicated by posting the updated Policy on the Services and, where appropriate, by email. Your continued use of the Services after the effective date constitutes acceptance of the revised Policy.
